Science Reviews 2000 Ltd needed to be able to be able to manage the production of their six specialised journals from start to finish; from the submission of an article, through to the printing of the finalised journal. Authors, Editors, Referees, Typesetters and Printers needed to be able to manage their roles in the production of each edition of their assigned journal.
USER REQUIREMENTS:
Staff at Science Reviews 2000 Ltd needed to be able to administer the production of all six journals from start to finish
Authors needed to be able to submit articles online and follow their progress
Editors, Editors-in-Chief, Referees, Typesetters and Printers needed to be able to fulfil their roles in producing both an online and hard-copy version of each journal edition, quickly and efficiently and with ongoing communications
Science Reviews 2000 Ltd also needed an information website to promote their six journals online
SOLUTION OVERVIEW:
Science Reviews 2000 Ltd approached Crushed Ice with an outline of the process involved in publishing a scientific journal. It was decided that a bespoke system was required to meet the needs of their business.
Following a Project Briefing meeting, Crushed Ice spent time mapping out the company workflows and specific processes required for an administrator, an Editor, a Referee, a Typesetter and a Printer. The system was then developed and fully tested for operation.
An informational website was also created as a 'front' for the production database, as well as for use as a promotional tool for the six journals; Avian Biology Research, Chemical Speciation & Bioavailability, Journal of Chemical Research, Materials at High Temperatures, Progress in Reaction Kinetics and Mechanism and Science Progress.
THE SOLUTION:
A bespoke system was produced and is hosted online for access by staff, Authors, Editors, Referees, Typesetters and Printers at anytime around the globe
The system is stored on a dedicated and secure server to protect the information submitted to it by all parties
The system is made up of six interfaces (one for each role), which is dedicated to the processes required for the specific job role
All individuals are provided with unique login credentials to access the system
Staff at Science Reviews 2000 Ltd have full control of the system and are able to oversee and manage the production of all journal editions
Authors are able to login to a dedicated interface to submit and amend their articles
Editors are able to login to a dedicated interface to review articles submitted to their assigned journal, but also have the ability to submit articles themselves
Referees are able to login to a dedicated interface to review articles assigned to them, but also have the ability to submit articles themselves
Articles can be filtered and searched for within each interface
Typesetters and Printers are able to login to dedicated interfaces to finalise the editions for each journal
Communications between all roles are managed via the system so that a history is recorded
The information website designed and built to promote the journals is linked to an external system that processes payments for subscriptions
The information website enables new Authors to 'sign up' for an account to submit their articles
The information website also collects data for visitors who 'sign up' to receive the Science Reviews 2000 Ltd monthly newsletter
